December 2013 training.sap.com/ae/en/

Welcome to the MENA Solutions eMagazine

Round-up of the latest news, courses and services from SAP MENA Education

Welcome to this – our first ever – SAP MENA Solutions eMagazine. You can expect a good balance of news on the latest courses, learning software, education consulting solutions and stories from our customers and/or partners on a regular basis. We will be releasing a new edition every two months. Be sure to look out for it.

In this edition we will bring thought leaders right to your screen, sharing news on SAP solutions and the latest on SAP Education, not only in MENA, but also globally. We will be discussing the latest learning trends and solutions.

Frank’s Column” is a column by Frank Toufic Naudé. Frank joined the SAP MENA Education team in September as head of development and delivery (with a big focus on Innovation). Frank will be sharing his view of Learning/Education/Training based on his many years in SAP and in business. Frank’s first column is called “Is there a future for Educators?”. He makes some thought provoking statements with good tongue in cheek humour.

You will find the latest training schedule for the remainder of 2013, but most importantly, the 2014 schedule in this edition. I recommend that you have a good look at it and plan your 2014 training before your diary fills up. We are also announcing some special offers for the remainder of 2013 on Certification and E-Academies. You still have time to make use of these great offers.

Have you wondered how to fit five generations in one classroom? Or, how to reduce support costs? Maybe you are approaching – or you are already in – a SAP ERP deployment and you are wondering how to solve the training needs of the stakeholders. Do you have a challenge in addressing the training needs that will follow the days, weeks, months and years after that big go-live date? These are all very real and relevant questions. You may just get some answers to these questions in the coming pages.

Enjoy this first edition! You can reach us – as always – at education.mena@sap.com.

Happy reading!

Is there a future for Educators?

I read an interesting article on why technology will never replace the teacher. I always question things and this made me think about Corporate Education. There is a lot of technology being applied in corporate education today. We have Human Resources and Learning Management Systems evaluating our knowledge gaps and proposing and monitoring training to fit us for the jobs we have - from hire to retire.  We have interactive learning tools, we have assessments to measure our actions and to reinforce learning and we have classroom training, E-Learning, synchronous and asynchronous facilitated learning. The list goes on... Frequently these days, we learn on the move via laptop or mobile devices.

Where does this leave the educator?

Frank Naude, Education Consulting Manager shares his thoughts.

Solving Training Needs for an SAP ERP Deployment

Recently,a higher education organization undertook a global SAP ERP deployment project that spanned several locations and multiple languages. The customer objectives included the elimination of redundant efforts when creating similar end-user documents and training materials. They wanted to validate end-user competence and readiness for go-live and deliver materials in the local language to increase regional user acceptance. By using SAP WPB, the organization was able to remove many redundant tasks that add cost to the production of documentation, training, and end-user help materials. The SAP ERP deployment was accelerated by managing the user adoption project in an efficient and streamlined manner. The company was also able to measure end-user access to materials post go-live and reducing help desk calls by more than 60% only a few weeks after go-live. SAP Workforce Performance Builder is SAP’s wholly owned solution for creating, editing, and distributing process documentation, context-sensitive user help, rapid eLearning, and test scripts.

How do you fit five generations in one classroom

With a constantly widening generation gap at the workplace there is a growing need to relook at the way we enable our people today. Today we are living and working longer which brings us to an office space filled with the Traditionalists, Baby Boomers, Generation X, Millenials and the new kid on the block - Linksters. SAP Education with its seasoned Learning Architects have cracked the code to a well defined flexible learning journey which addresses the various challenges this multi-demographic workforce faces today. The key is to break down characteristics of these generations and examine how your firm can effectively work with each of them. At SAP Education we also understand that generation stereotyping is one way of looking at it, however each individual has their own learning style. Based on a CEdMA learning trends study 2012 one can broadly classify this as Formal, Explorative, Intentional and Informal.

So how do you manage your multi-demographic workforce today?

Optimal results from SAP applications are achieved when the execution of People, Process and Technology is optimized. There are many excellent products from SAP and our partners that help you manage and optimize the SAP applications and the infrastructure on which they run. But, until now, there have been no tools that could help you optimize the performance of your end-users.

The evolutionary challenges a modern workforce faces today

When you’re in the middle of an implementation or upgrade programme, making sure that your users get the right level of education is a key part of your planning.  Most organisations understand that enabling your users is the best way to make sure that your new functionality works the way you’ve designed it, and that you get the most out of your software investment.  Training may be left to the last minute, and you may not have the time or budget you’d really have liked, but in most cases, users do get some of the training they really need.

So what happens after the project?  When the dust settles and everyone returns to business-as-usual, the project team is disbanded, the project files are put away, the training system is shut down: what happens then?

Reduce support costs

How much of the iceberg can you see?

User support takes up a significant portion of any company’s IT budget. When you measure the direct costs associated with running a support team, then factor in the costs of time lost to inefficient working and mistakes, plus wastage from re-working incorrect documents, plus time taken by more experienced members to help their junior colleagues... it soon adds up to a substantial bill.  It is no surprise that most of our customers are looking for ways to free up time and budget that’s spent on routine user support, and direct them instead to business innovation and improvement.

So how can SAP Education help to reduce your support costs?

Is there a future for Educators?

I read an interesting article recently on why technology in Education will never replace the teacher. I always question things and this made me think about Corporate Education.

by Frank Naude, Education Consulting Manager

There is a lot of technology being applied in Corporate Education today. We have Human Resources and Learning Management Systems evaluating our knowledge gaps and proposing and monitoring training to fit us for the jobs we have - from hire to retire. We have interactive learning tools that test our skills and knowledge in a non-threatening simulation environment and we have contextual online help so that we never get lost. We have assessments to measure our actions and to reinforce learning. We have classroom training, E-Learning, synchronous and asynchronous facilitated learning. We learn on the move via laptop or mobile devices. We have massive open online courses that bring the 'best education' to the masses. We have coaching, mentoring, gamification and massive knowledge sharing through a mass of online social and KM. The list of technology innovation goes on. Phew!

Where does this leave the educator? Do I have time to form a loving bond with my teacher or trainer like I did at school? Do they inspire me and prepare me to rush out and do a cracker presentation on corporate strategy or some other topic? No. I am all grown up now and, while I appreciate their knowledge and love the war stories, that's it. Two days or five days, wham bam and it's hasta la vista baby... back to the treadmill, applying the new found knowledge as is expected of me.

Do I enjoy the classroom experience? Yes, but for other reasons. It's time to turn on my 'out of office' and avoid the endless meetings. I have time to focus and have someone lay it all on for me and hopefully tell me some cool stories that I can recount at the corporate campfire. I love an enthusiastic experienced educator that focuses not on teaching, but on learning. However, it has to be good enough to get me in my car with my little overnight bag. I spent four years at a brick and mortar university turning their notes into my notes. I eventually stopped going to many lectures, preferring to lie in and read the text books instead.

Do I enjoy E-Learning? I have to be frank, the answer is mostly, 'No'. I am not fully ADD...now where was I? Ah yes, I am not fully ADD, but find it difficult to stare at a screen and listen to someone droning on. I have access to some cool new technology that improves the experience, but unless the topic is really exciting, I wander off. I need to be engaged and active. I need short bursts, like a quick TED talk where I see the speaker, read their body language, watch the audience respond. In fact, most of what we learn today is in short bursts on the Internet. The presenter and the instructional design is key, but it's also about your preferred learning style. Some people love this method, some people also love spinach and cauliflower.

Do I like facilitated online learning? Oh Yes. This is my favorite formal learning mode, especially constructivist learning which lets me explore and wander off a bit, while in my gown and slippers. I still have a teacher or facilitator with whom I can engage. Better still, I have a community of tens, hundreds or thousands of people I can engage with on the topic of the week. I can collaborate and learn from many people from all walks of life and I get to learn things the facilitator or teacher does not know. I spent a few years doing this through California State University and loved it. It is not for novices.

So, if I was to compare the above with the characters from Winnie-the-Pooh...  Classroom would be Rabbit, E-Learning would be Eeyore and Online learning would be Tigger!  What I love is that behind all this technology and these modes of Education, are many great people with a solid understanding of learning and a passion to share knowledge. You may not always see them, but for every one you see, there are many you don't. Long live the educator!

Solving Training Needs for an SAP ERP Deployment

Recently,a higher education organization undertook a global SAP ERP deployment project that spanned several locations and multiple languages. The management was fully aware of the importance of workforce enablement.

The customer tried to achieve the following benefits:

  • Eliminate redundant efforts when creating similar end-user documents as well as delivering these in local languages
  • Incorporate multimedia elements to deliver policy, procedure, and relevant contextual information to improve process buy-in and knowledge transfer
  • Readiness for go-live and reducing post-go-live support calls by providing self-service help for users

By using SAP Workforce Performance Builder, the organization was able to remove many redundant tasks that slow or add cost to the production and localization of documentation. The solution helped accelerate the SAP ERP deployment by managing the user adoption project;even though teams were geographically dispersed. The company measured end-user readiness for go-live, both in terms of completion of each end-user’s role-based training courses at almost 100% and actual end-user competence at 90%.

How do you fit five generations in one classroom

In the not so distant future we will be facing five generations in the workplace at once, for the first time.  How well prepared are we to handle workforce behaviors, employee engagement and most importantly enablement?

With a constantly widening generation gap at the workplace there is a growing need to relook at the way we enable our people today.  We are living and working longer which brings us to an office space filled with the Traditionalists, Baby Boomers, Generation X, Millenials and the new kid on the block - Linksters.

These two concepts put together make a perfect concoction for each individual which eventually forms your firm's enablement journey.  In the SAP world the key to a sucessful project is an intelligent user base.  And the first step is to understand your unique workforce's characteristics.  Traditionalists (1930-1945) tend to prefer detailed directions and guidance.  They prefer face-to-face meetings and rigid corporate structures. Baby Boomers (1946-1964) work best in teams, value meetings and ask for direction when needed.  Generation X (1965-1980) these are the "latchkey" kids who grew up independent and need to be empowered to work alone to get results.  Millenials (1981-2000) respond well to workplace structure and timely feedback and appreciation.  They enjoy collaboration and are early adopters of technology making them the most adaptive so far, as they are the generation which had the most technological advancements in such a short span.  Linksters (2001-present) the youngest to join the workforce are the technologically dependant, socially active and often involved in green causes.

With a clear understanding of your workforce's characteristics the next step is to build a blended learning model that works for you. SAP Education has a whole gamet of delivery methods that can fit all your needs. Starting with our traditional learning methods like our time tested Project Team Training in a traditional classroom and our Customer Specific Training to our digitally enabled learning solutions  offering you

  •  Virtual Live Classrooms: delivered using state of the art technology in this space.  With live instructors and extended access to a live system after class hours.  And now we have OnDemand Scheduling too.
  • E-Academies: comprehensive e-Learning programs bundled for each module which can take you from beginner to specialist in 5 months. Get all the support you need with the instructor plus access to a system.
  • Learning Hub:  An online subscription with over 1200 titles to choose from.  This will be your one point of reference for everything SAP and what's more you can cross train in other modules with no additional costs
  • ERP SIM:  All learning and no play is just dull, get gamified with ERP SIM
  • Knowledge Accelerator: Off the shelf, quick to set up, rapid education deployment solutions

It is all about enabling your workforce and what better way than to get them involved at every stage of your SAP implementation cycle and post Go Live as well to ensure knowledge is retained.  Moreover your requirements evolve constantly.  Speak to us for an End-User Enablement health check and get a detailed analysis of your current scenario.  SAP Education is innovating in the Project Accelerator platform as well with our cutting edge technology in the software space as well.  More articles in this edition.

Simultaneously Reduce Cost and Improve Business Results with SAP Education

Optimal results from SAP applications are achieved when the execution of People, Processes and Technology is optimised. With all the tools and technology available, the People element is still often overlooked.

There are many excellent products from SAP and our partners that help you manage and optimise SAP applications and the infrastructure on which they run. But until now there have been no tools that could help you optimise the performance of your end users.

That’s why we are so excited to introduce you to SAP’s newest tool to manage end-user performance, SAP User Experience Management by Knoa (SAP UEM).  SAP UEM monitors application execution from the perspective of the end-user, and provides precise metrics about the user experience as well as measurements on how people interact with SAP software. The software delivers the most accurate metrics possible on the performance of the application, and an unprecedented level of visibility into the actual performance of the end users. Utilising SAP UEM you can learn:

  • Are employees using the right transactions to execute the business processes?
  • Are system problems and slow performance impacting user productivity?
  • Are the employees efficient or are they making a significant number of mistakes?
  • Are the transactions effective, or are they cumbersome, requiring employee invented work-arounds?

The business benefits come from three primary sources, and they are impressive.

Reduced cost of application support
  • A global Telecommunication Company realized €220K annual cost savings just in managingapplication performance issues
  • With insight into actual user errors, a global CPG company redesigned its annual training program for a recurring annual cost saving of £250k
  • A Medical Supply company saved €255k by not-maintaining custom code that was no longer used.
Improved application quality that drives end-user productivity
  • An Industrial Hard Goods producer removed ‘unnecessary’ fields from screens to reduce user errors and improve user productivity by 15%
  • A pharmaceutical company blocked excessive warning messages to shave 2 seconds from key call center transactions
Improved user performance leads to improved process execution and improved business results
  • A major call center operator improved advisor efficiency by 25%, for an annual recurring gain of €2 million, by analyzing actual end-user workflow in ‘best performing’ call centers and establishing new “best practice” standards.
  • When utilization metrics revealed that managers in some plant locations weren’t reviewing the cost-variance this global manufacturing company took remedial action and their cost variances decreased by 10%

Corporate performance management is all about understanding the difference between what you've planned and what actually happens.  If that understanding stops short of the end-user performance, this critical link in corporate performance is ignored, and no enterprise application will achieve its full potential.  SAP User Experience Management, combined with other tools and services from SAP Education, allow you to identify, analyse and then (most important!) resolve this concern, allowing you to realise the full potential of your SAP investment.

Do you have about 30 minutes to speak with us about how a solution like this might deliver the similar results for your organization?

The evolutionary challenges a modern workforce faces today

The modern workforce is constantly evolving with growing technology and information overload.  Our information consumption is doubling year on year, the key to keep up  is just in time learning - anytime, anywhere.

If yours is a typical organisation, any SAP-related training you do from go-live onwards will be focussed on changes –new starters, job-movers, adoption of new functionality and so on.  But education is not, and never has been, a one-time activity.  Even where job requirements and functionality don’t change (and when has that ever been really true?) simple human limitations mean that knowledge decays.  Research estimates that any one of us loses up to around a third of our stored knowledge every year.  If you’re not using the new skills you learnt during your implementation, you’re going to lose them.  As an organisation, the collective skills level of your people will fall – and that’s going to cost money!

So, it’s important to have strategies in place to accommodate the need for revision and refreshing skills.  Ideally, you’d like to make use of the training and documentation that prepared your people for your new functionality in the first instance.  Too often, however, organisations find that enablement material written for the original implementation, doesn’t suit the requirements of a more experienced team.  It may have been written to illustrate the changes from your old system to the new. It may have focussed on the planned functionality, rather than what was actually deployed.  It may have concentrated on core processes, which are still regularly used, rather than the infrequent, higher risk transactions that are most likely to need refreshing.  SAP Education can help you manage the refresher challenge with a variety of tools and services. Our Education Lifecycle addresses enablement needs right through the life of your solution – not just during a period of transformation, but also during your steady-state performance phases. By looking at your own organisation’s requirements, challenges, objectives and culture, we can devise an enablement strategy that will make sure that you get the most from your SAP solutions.  This might include elements like:

SAP Learning Hub:  A one stop shop for all the latest curriculums from SAP Education accessible anytime, anywhere. Leverage a hosted solution with no installation required.

SAP Workforce Performance Builder: allowing you to create, manage and update learning and support materials quickly and efficiently – making sure that documentation is accurate and fit for purpose

Formal Learning: such as public training courses to extend and update the skills for key individuals, or a refresher programme for key business users

Informal Learning: people learn from those around them – we can’t fight this, but we can make use of it

Super User Programmes: a true super user community acts as a first level support, a driver for business improvement and a source for staff training and development

SAP Workforce Performance Builder

Reducing the Cost and Risk of Change

It takes more than software to transform your business. Your SAP solution offers you powerful tools; but to harness that power and realize its benefits, your workforce needs to use it accurately and intelligently.

Now you can create and deploy user documentation, context-sensitive help, test scripts, and an e-learning curriculum with unprecedented speed and ease. For more than a decade, SAP Education has provided our customers with software expressly designed to help build and grow user competence. We are now happy to introduce the next advance in this field: SAP Workforce Performance Builder.

INTRODUCING SAP WORKFORCE PERFORMANCE BUILDER

SAP Workforce Performance Builder meets a simple objective: to help our customers generate value from their SAP solution. Its advanced features help keep support and training costs down and regulatory compliance high. Its modest system requirements and fast deployment options help keep IT costs low and reduce ramp-up time significantly. The result is a workforce empowered to get the most from your SAP solution.

SAP Workforce Performance Builder is a truly scalable product: its core functionality and optional extensions work together to integrate and manage the work of subject-matter experts, content developers, project leaders, and change and learning managers. It is an ideal solution for organizations of all sizes, available in both enterprise and desktop editions, as meets your organization’s needs.

SAP WORKFORCE PERFORMANCE BUILDER: ENTERPRISE EDITION

There are two major elements of SAP Workforce Performance Builder: the producer and manager options, which can be ordered separately. Tightly integrated, scalable, and expandable, they help manage the entire content lifecycle.

The Desktop Component: Producer Option

The producer option gives your organization the power to create, edit, and present your content and simulations exactly as you wish. Creating content with the producer option is as easy as running through a transaction. This option automatically transcribes each step in a highly accurate recording, adds screen shots and explanatory text, and creates a professionally formatted source document that you can edit to meet your precise needs.

The degree of control you can exercise over your content exceeds that of stand-alone tools. Its state-of-the-art features include items such as text to speech, audio recording and editing, and extensive media embedding. Yet its WYSIWYG interface makes that control easy to implement and modify. It offers a wide variety of standard outputs, including a highly configurable audit and compliance document, and also enables you to create customized formats.

SAP Workforce Performance Builder, producer option, lets your organization create remarkably complete and accurate recordings. Its object recognition capacity – the degree to which it can recognize screen items and include them in a recording – is optimized for SAP software and excellent for other applications as well. The result is less time spent editing and reformatting, more accurate simulations and documentation, and more reliable performance support.

Additionally “true rerecording” makes it especially attractive to large multinational or multicultural organizations, automatically recreating a recording made in one language in another without author intervention, complete with screens in the second language. True rerecording is also useful for documenting even small changes in user interfaces: all that’s needed is to rerecord and republish your documents. Competing products that offer only “guided rerecording” require considerably more time and effort and are not much different than starting over from scratch. SAP Workforce Performance Builder can rerecord automatically in 37 languages – clearly rising above competitive products.

The producer option, also includes “context configurator”, which easily transforms the content into context-sensitive user help. Once an SAP context has been set and deployed for the content, end users can access it from their SAP help menus. They get the precise support they need, exactly when they need it.

The Enterprise Component: Manager Option

SAP Workforce Performance Builder, manager option, is a server-based content lifecycle collaboration and management system designed for ease of use. It offers a sophisticated workflow and project management system for everyone involved in content creation, editing, and approval. With just a few clicks, you can manage and monitor every facet of your development project:

  • Create and manage users, roles, permissions, and organizational units
  • Establish best-practice development workflows and priorities
  • Set milestones and project status
  • Broadcast messages to your team – all in a logical, well-ordered, and intuitive Web interface

The manager option also offers sophisticated version management, keeping an accurate record of who touched which content, when and what changes were made.

The manager option actually goes beyond workflow and project management to serve as a host for e-learning courses. Users can log in to a Web site, see the classes available to them, and take their classes all from the same site. Afterward, learning managers can choose the “learning reporter” option, and generate detailed reports on the learners’ success, right down to user performance in individual steps of a lesson or simulation. When used alongside SAP User Experience Management application by Knoa (sold separately), companies will have a complete look at user skills – both during training and in actual performance. As a result, training departments have hard data to help them fine-tune their lessons and build user competence.

Subject-Matter Experts:Recording with Instant Producer

Finding time for your subject-matter experts to sit down with your content creators and document user transactions isn’t always easy. But unless they do, your project can be seriously delayed.

The instant producer option is included with every user license. Your subject-matter experts can contribute their expertise to content creation whenever it’s convenient. The instant producer option enables subject-matter experts and other end users to create highly accurate documentation and simulations without having to learn to use the producer option. It’s prompt driven and completely intuitive and creates professionally formatted output that you can use immediately or pass to your professional developers for further editing. Content creators can even include notes to the developers and learners when they make their recordings.

SAP Workforce Performance Builder: Desktop Edition

For those customers with more localized content creation teams, SAP Education offers the SAP Workforce Performance Builder desktop edition. The desktop edition includes one or more copies of the producer option as fits your needs, plus a license for the instant producer option for each named user.

Boosting User Performance:The Navigator Option

Companies engaged in an implementation or upgrade – or highly regulated organizations – will want the navigator option, which provides additional context sensitive detail at the end-user level. Whether customer configured or set up through a consulting engagement, the navigator option safely guides your users step-by-step through new, complex, changed, or rarely used processes and allows even new users to quickly learn how to properly carry out the necessary processes. The navigator option pushes the information directly to the user; there is no need to invoke help menus.

THE CLEAR CHOICE

SAP Workforce Performance Builder is the clear choice for any organization wishing to build, sustain, and grow value from its SAP solution – toward becoming a best-run business.

Reduce support costs

How much of the iceberg can you see?

User support takes up a significant portion of any company’s IT budget.  This is often the invisible cost that takes up time and effort of many of your resources.  How can SAP Education help reduce your support costs?

User support takes up a significant portion of any company’s IT budget. When you measure the direct costs associated with running a support team, then factor in the costs of time lost to inefficient working, errors, wastage from re-working incorrect documents, plus time taken by more experienced members to help their junior colleagues, it soon adds up to a substantial bill. It is no surprise that many of our customers spend more time and budget on routine user support, instead of business innovation and improvement.

First and foremost: making sure that your people have the right levels of skills, knowledge and experience means that they’re better equipped to perform. Research shows clearly that well trained users make fewer costly mistakes, require lower levels of support, take up less of their colleagues’ time and work more efficiently. Don’t forget, either, that knowledge is naturally lost over time. Even the best trained employee will need refreshing and updating with time. Secondly, it’s important to be sure that your documentation and user training material are fit for purpose. The key to producing efficient user documentation is to make it relevant and easy to maintain, not just to create. Tools like SAP Workforce Performance Builder make creation and updating of all types of documents quicker and manageable. Ensure that your users know how to find the information they need - a weighty help manual stored on an obscure server somewhere is no use to anyone. This is where context sensitive help functions can come in useful. SAP WPB’s Navigator component automatically pushes relevant information to users when and where they need it, this ensures long term support documentation. An area of user enablement which is often overlooked is informal or social learning. This may be discussion groups, user-created documents, team information and so on. Users learn all the time from those around them- developing real practice, not best practice. We can’t fight this, but we can make use of it. The greatest training in the world, supported by the most comprehensive and accessible documentation ever written, isn’t always going to do away with all your support requirements though. There are some recurring questions and you may recognise these, they are the -

  • infrequent reminders: ‘it’s been almost a year since I had to run this closing report - how do I do it again?’
  • judgement calls: ‘the customer wants this delivery in 7 working days, is this classed as a rush order or standard?’
  • exceptions to manage: ‘I know that this is normally sent through the admin office, but I need this delivered direct to my desk, how can I do this?’
  • specific how-to questions:‘How can I book a train ticket, rather than a flight, for this trip?’

Each of these represent small, specific requirements for support, which may be raised regardless of any training or documentation your users have received. The issue is, of course, if your dedicated support team is the only place for your users to get support, they’ll always go to your support team for support! SAP Education work successfully with customers to create a distributed support culture– that is, a culture in which support for your users comes not just from your dedicated, and expensive support team, but also from managed knowledge, from super users and from knowledge networks within the business. Fostering a distributed support culture enhances and expands your support team, or competency centre. Fewer routine calls means lower demand on your support team, and, ultimately, lower support costs.

SAP Education is already helping customers to address their individual enablement issues, and to work towards a distributed support culture, bringing support costs down. For more information, please don't hesitate to contact us today.
